You can show up better when AI shows up first
Most AI advice tells you to automate more. This is about getting your time back so you can show up meaningfully for the people who matter.

You didn't get into this business to write follow-up emails at 9 pm or deciphering your scribbled notes.

Your clients are fundamental to your business, and they probably love you because you listen well, remember what matters to them, and can speak their language. You deliver something great based on what they need. That's a real product and differentiator, and somewhere along the way it started competing for time with invoicing, scheduling, and the fourteen small admin tasks that live between one client conversation and the next.
This issue is about a specific idea: AI's job isn't to replace the human relationship. It's to clear everything around it so you have more of yourself left when it counts.
The Business Problem
Admin work easily eats into the part of your business that actually makes you money—your client relationships — and most owners don't notice it happening because it happens in small pieces.
Here's a simple way to think about where AI fits into client work: before, during, and after.
Before is prep. This is where AI earns its keep fastest. Paste in your rough notes from the last conversation with this client — even messy, half-sentence notes — and ask AI to pull out where things left off, what you said you'd follow up on, and two or three questions that would pick up naturally where you stopped. Ask it what seems most important to this person and what their drivers are. Instead of skimming old emails for ten minutes before a call, you walk in already caught up.
During is the actual conversation. The listening, the reading of the room, the judgment call about what this person needs right now. This is the part only you can do. This is the part they're actually paying for. Next Moonbird Intel article will be about AI meeting tools, stay tuned.
After is follow-up. This is the second place AI does real work. Right after the call, tell it what was discussed and what you promised, and ask it to draft the recap email in your voice. You edit it to sound like you and send it the same day, instead of it sitting in your drafts folder for three days because writing it from scratch felt like one more thing.
Most people, without meaning to, let "before" and "after" eat into "during." You show up to a call under-prepped because you didn't have time to review notes. You're distracted mid-conversation because you're mentally drafting what’s next. The admin bleeds into the relationship, and the relationship is impacted because you’re not fully there.
AI's real value here is delightfully boring, and that's why it works: It can pull together your notes before a call so you walk in already caught up. It can draft the follow-up email in your voice, right after, so it doesn't sit in a drafts folder for a week. None of that requires AI to understand your client. It just requires it to handle the parts that were never about your client in the first place.
The result isn't that AI touches the relationship. It's that the relationship gets protected from everything that was leaking into it.
Your client relationships don't get thinner. They get more room to breathe.
The Prompt You Can Adapt
Use this to prep for a call with a client you haven't deeply reconnected with in a while.
COPY-PASTE PROMPT
Here's everything I know about my client [name]: [paste your notes, past emails, or a rough summary of what you remember]. I have a call with them coming up soon. Help me: (1) pull out the two or three things that seem to matter most to them right now, personally or professionally, (2) identify anything I said I'd follow up on that I may have dropped, (3) suggest one thoughtful question I could ask that shows I've been paying attention, not just going through the motions. Keep this specific to what I've actually told you — don't invent anything I haven't mentioned.
Try This
→ Pick one client you haven't deeply checked in with in the last month. (1 minute)
→ Gather whatever notes or memory you have on them, even if it's thin. Run the prompt above. (5 minutes)
→ Use the one question it surfaces in your next conversation with them. Notice what it opens up. (during the call)
